1. About us

Selectamark Security Systems plc (“Selectamark”, “we”, “us”) is a leading UK-based supplier of property marking, forensic coding and asset identification solutions designed to deter theft and aid in the recovery of stolen property. Secure Asset Register is a trading name of Selectamark.

This Privacy Notice provides information about our data protection practices.  It covers our activities as the Controller for the personal data we process.

In some circumstances we may also act as a Data Processor on behalf of partner organisations or public authorities (for example, where we manage data for police forces using our registration or recovery systems). In those cases we process personal data strictly under the controller’s written instructions and with contractual and technical safeguards.

Other organisations (such as police forces, insurers or partner companies) may also act as controllers. Where this applies, they are responsible for providing their own privacy information.

2. What this notice covers​

This Privacy Notice explains how we collect, use, share and protect personal data, as well as the rights available to you, across all areas of Selectamark’s operations, including but not limited to:

  • Online services and registration portals (e.g. BikeRegister, Secure Asset Register, SelectaDNA websites)
  • Product purchase, fulfilment and customer support
  • Product and asset marking, registration and ownership management
  • Co-operation with police and other public authorities for crime prevention and detection (including asset recovery)
  • Marketing communications and events
  • Website usage, analytics and cookies

Where we refer to ‘personal data’ we mean any information that relates to you as an identifiable individual.

3. Personal data we collect

We may collect and process the following types of information:

  • Identity & contact data: name, title, address, email, telephone number, organisation.
  • Account & registration data: user IDs, passwords, asset/kit/marking codes, ownership records and preferences.
  • Transaction & fulfilment data: orders, payment card and bank account information (handled by secure payment providers), delivery details, warranty and servicing information.
  • Communications: emails, support requests, call notes, chat or live-chat messages.
  • Website / technical data: IP address, device and browser-generated information, pixels, logs and analytics/cookie data (see “Cookies & Analytics”).
  • Marketing data: preferences, communication history and engagement (e.g. emails opened or clicked).

4. How we collect your personal data

  • Directly from you: via online forms, account creation, purchases, correspondence, phone or live chat, or during events.
  • Automatically: through cookies, analytics tools and system logs.
  • From third parties: partner organisations, police or public authorities, authorised resellers and distributors, payment and delivery providers.

5. How we use your personal data

We use personal data for the purposes listed below.  For each purpose, we have also explained the types of personal data used, as well as our ‘lawful basis’ under data protection law.  This is our justification for using your personal data for that purpose. The law permits use of data only for specific reasons - such as to perform a contract, comply with a legal obligation, pursue legitimate interests, protect the public interest or obtain consent.

The information above applies to personal data. We also reserve the right to anonymise your personal data, and to use the resulting non-identifiable data for any business purpose (including, without limitation, product development), and to share anonymised data with third parties.

6. Sharing your data

We never sell personal data. We share it only where necessary and only with known third parties.  Where feasible, we take steps to ensure that third parties meet our security and confidentiality standards.

Third parties with whom we share your personal data include:

  • International distributors of our products who provide local language support
  • Delivery and logistics providers (e.g. UPS)
  • Payment processors (e.g. Stripe)
  • IT and cloud service providers (e.g. Amazon AWS, Microsoft)
  • Marketing and communication platforms (e.g. Salesforce)
  • Professional advisers (auditors, accountants, legal representatives)
  • Law enforcement and other authorities (e.g. UK Police Forces)
  • Purchasers of our company or its assets (if we enter into a sale, reorganisation or insolvency process)

All third-party suppliers undergo due diligence before engagement and, where they act as data processors, must enter into data-processing agreements. We carry out periodic compliance reviews.

7. Internal data transfers

We are a UK based business, and your personal data will primarily be stored and used within the UK and the EEA.

Some of our IT and cloud service providers operate outside the UK or EEA. Where this occurs, we ensure appropriate safeguards are in place and take reasonable steps to ensure that your data receives an equivalent level of protection when it leaves the UK or EEA.

This includes use of data transfer agreements (e.g., UK Addendum to the EU Standard Contractual Clauses)and reliance on adequacy decisions (e.g., US Data Privacy Framework). Copies of safeguards relied upon are available on request.

8. Data Retention

We keep personal data only as long as necessary to fulfil its purpose and to meet legal, accounting or reporting requirements. For transaction records, this is up to 7 years for tax, warranty, and contract purposes. For product registration and asset ownership information entered onto one of our product databases, data is retained until we are requested to delete an account. When no longer required, data is securely deleted or anonymised. 

9. Security

We use appropriate technical and organisational measures to protect personal data, including encryption (in transit and at rest where appropriate), access controls, least-privilege permissions, monitoring, testing, staff training and supplier due diligence. 10. Cookies

Our websites use cookies and similar technologies (including tags, beacons, scripts and pixels) to enhance your experience and improve our services. We use three main categories of cookies:

  • Strictly Necessary Cookies - essential for site operation, security and log-ins.
  • Performance Cookies - help us understand how visitors use our sites and improve functionality.
  • Targeting Cookies - deliver relevant content or ads and measure effectiveness.

Some of these cookies are “session cookies”, meaning that they are removed from your device when you close your browsing session.  Others are “persistent cookies”, meaning that they last for a set period of time after you close your browsing session.

Except for Strictly Necessary Cookies, we only use cookies with your consent. You may manage cookie preferences via the Privacy Preference Centre on our website or through your browser settings.

11. Your rights

Depending on applicable laws, you have rights in relation to your personal data.  These include the right to access, rectify, erase, restrict, object to processing (including to marketing) and port your data. Not all of these rights are applicable in all circumstances, and some are subject to exemptions.  If you contact us, we will be happy to help you understand which rights are applicable in your circumstances, or you can visit the ICO’s website for an explanation: https://ico.org.uk/global/privacy-notice/your-data-protection-rights/

Where we rely on consent, you may withdraw it at any time. Requests to exercise rights should be sent to [email protected]. We may ask for proof of identity and will respond within one month, unless your request is complex, in which case we may extend by up to two further months.

In addition to these rights, you have the right to complain to us about how we use your personal data. We will acknowledge complaints within 30 days and respond to them without undue delay. 

12. Children's data

We do not knowingly process children’s personal data. The Terms and Conditions for our websites state that users must be aged 18 or over.

13. Automated decision-marking

We do not make decisions based solely on automated processing that produce legal or similar significant effects or use profiling for marketing purposes.

15. Changes and review

This Privacy Notice is reviewed annually (or sooner if laws or operations change) and approved by senior management. The latest version will always be available on our websites.
